Our Role as a Data Processor

When providing services to our customers, such as EU institutions or other organizations, Alphatrad Worldwide Ltd acts as a data processor, processing personal data solely on documented instructions from the data controller (e.g., our customers), in accordance with Article 29 of Regulation (EU) 2018/1725 (where applicable) and contractual agreements. This includes translation, proofreading, and localization of sensitive data, such as legal, financial, or administrative documents, while ensuring the confidentiality and integrity of customer data.

Personal Information We Process

Personal information is data such as your name, birth date, email, or mailing address that can uniquely identify you. We process personal data in two contexts:

  • For Website Users: You can browse our website without providing personal information. To access services (e.g., translation services, order placement), we may collect your name, address, telephone number, email address, and credit card details (for invoicing, processed securely by a third-party partner using AES-256 encryption). This data is used solely for the purpose requested, such as service delivery or responding to inquiries.
  • For Customer-Related Processing: We process personal data as instructed by our customers, which may include names, contact details, financial data, or other identifiers in documents. The purposes are limited to translation, proofreading, and localization, with processing based on the contract with the customer and compliance with applicable data protection laws.

Credit card information is processed by a third-party partner using secure servers and encryption, and neither Alphatrad nor the partner stores, uses, or shares this data for other purposes.

Your Data Subject Rights

Under Regulation (EU) 2018/1725 (where applicable) and other data protection laws, you have the right to:

  • Ask for a copy of your personal information (Access).
  • Ask for your personal information to be corrected or updated (Rectification).
  • Ask us to remove your personal information from our records (Erasure).
  • Request restriction of processing in specific cases (Restriction).

Alphatrad Worldwide Ltd will not sell or rent your personal information to anyone. We share personal data only under the following conditions:

For customer-related processing, personal data is retained only for the duration of the contract, with data returned to the customer or deleted within 30 days post-expiry, unless otherwise instructed or required by law. Website user data is stored for a reasonable period (e.g., for service delivery or legal compliance) and deleted upon request.
